Terms and Conditions

Prior to booking, please ensure you have read the full terms and conditions which will apply to your event booking.

Booking and Confirmation

  1. The booking confirmation together with these terms and conditions constitute a legally binding contract and by confirming your booking you are legally obliged to make payment for all fees as applicable by your registration.

Amendments / Cancellation by you

  1. Delegate substitutions may be made at any time at no additional charge by emailing – conference@igala14.com.
  2. Cancellations must be received in writing to conference@igala14.com.
  3. Refunds will apply as follows, based upon the cancellation notice given:

100% refund less £30 administration + bank charges
Between 1 January 2027 and 31 May 2027:
50% refund less £30 administration + bank charges
On or after 1 June 2027:
No Refund
  1. No refunds will be made for delegates failure to attend the conference or for missed bookings for any reason including delayed or cancelled transport to and from the event.
  2. Accommodation bookings made through York St John University, albeit via the link on our website, do not form part of this booking. Separate terms and conditions apply. Should you wish to cancel your accommodation booking, you will need to do so through York St John University. We disclaim any liability in this respect as per Clause 10 below.

Amendments / Cancellation by us

  1. Our acceptance of your booking is on the understanding that circumstances beyond our control may prevent us from meeting our obligations at the relevant time in which case we will not be liable for any loss suffered by you or any third party.
  2. Should we, for reasons beyond our control, need to make amendments to your booking and/or the conference more generally, we reserve the right to provide alternative arrangements which will usually be minor. Such minor changes could include for example, the alteration of the advertised programme (including speakers) or timings of the event.
  3. In the case of circumstances beyond our reasonable control that result in the conference being cancelled by us, no refunds of registration fees will be made.
  4. We disclaim any further liability, including but not limited to costs of accommodation, train fares or any other arrangements made in connection with attending the conference.
  5. Participants are advised to secure appropriate travel insurance to cover potential losses.

Payment

  1. Full payment for your booking must be received prior to registration at the conference or at any associated elements of the conference.
  2. The organisers reserve the right to refuse entry to any delegate who has not paid in full by the due date of 14 July 2027.
  3. Payment must be made in GBL Sterling. Payments can be accepted by:
    1. credit/debit card (Visa and Mastercard only) at the time of booking on the website or
    2. invoice provided that accurate and relevant address details are provided by you during the booking process. The invoice is required to be paid within 15 working days of the date of booking/invoice. Failure to pay the invoice within 15 working days will result in the booking being cancelled unless a Purchase Order/PO Number has been submitted.
  4. The cut-off date for issuing of an invoice will be 14 June 2027. Any booking made after this date must be paid for by credit/debit card at the time of booking on the website or in person at the venue upon registration at the conference.
  5. Any booking made after the cut-off date will be at Standard Ticket rates only.

Access and Dietary Requirements

  1. We aim to place our events in venues, accommodations, etc that are fully accessible. As far as possible, we will offer suitable advice so that you are fully informed. We ask that you advise us of your access requirements/needs so that we can endeavour to meet them. You acknowledge that if we are not aware of your needs, we may not be able to provide for them.
  2. You must notify us of any food-based allergies you may suffer from or any other dietary requirements you may have. We will communicate this to the event caterer(s). You acknowledge that without such information, the caterer(s) may not be able to provide food for you.
  3. While we will endeavour to provide for your requirements as notified to us, Mosaic Events and the organisers are not the end providers and therefore cannot guarantee that they will be accommodated.

Code of Conduct

  1. We are committed to diversity, equity, and inclusion and actively promote inclusion and accessibility at our events. We value the participation of each individual and want all participants to have an enjoyable and fulfilling experience.
  2. IGALA 14 is intended to be a safe space designed to encourage the sharing of professional knowledge and ideas. We take our delegates’ safety seriously and support delegates of all backgrounds, needs and interests to feel safe and get fully involved in Conference.
  3. All communication and behaviour should therefore be appropriate for a professional audience including people of many different backgrounds. Sexual or discriminatory language and imagery will not be tolerated.
  4. Delegates violating these rules may be asked to leave the conference without a refund at the sole discretion of the conference organisers.
